Large gallery. Together mode. The default view when you join a meeting shows up to nine other people on your screen at the same time.

If there are more than nine others in attendance, Teams prioritizes the people who have their video turned on and those who\’re speaking the most. For people who haven\’t turned on their video, Teams shows their profile pic instead or their initials if they haven\’t added one.

See the videos of up to 49 other people at once. This option is available when at least 10 people have their cameras turned on. Note: If no one is sharing video, Large gallery won\’t be selectable in the menu.

To pin someone\’s video to your view regardless of who\’s talking, select More options in their video feed next to their name and choose Pin. To pin your own video, select More options in your video feed next to your name and choose Pin for me.

This will pin your video for your own view, others won\’t see you pinned. Spotlighting a video is like pinning it for everyone in the meeting. If you\’re an organizer or a presenter, you can choose anyone\’s video including your own to be the main video people see. On the meeting options page, next to Choose co-organizers , select the down arrow and choose the name of the co-organizer.

Note: To learn more, see Add co-organizers to a meeting. Type the name of a channel where it says Add channel under the time and date fields. Channels can\’t be edited or added once the invite is sent. You\’ll need to send a new invite with the updated channel. Note: When you have a meeting in a channel, everyone in the team will be able to see it and join it in that channel.

This feature isn\’t available in private channels. Once you\’ve added the people you want, select Scheduling Assistant to find the best time. If it\’s a recurring meeting, open the dropdown menu next to Does not repeat just below the date.

Choose how often you want it to occur from the default options, or select Custom to create your own cadence. If you\’re unfamiliar with how to add a calendar to a channel, the steps are outlined for you at See all your meetings in Teams. Once that\’s done, you have a few ways to add events to the shared calendar. Or, select the arrow next to Meet now at the top of the app to open the menu and select Schedule meeting. Each of these actions will open the scheduling form with the channel name filled in, feel free to add an Outlook group or individuals by manually entering their names.

Guests and partners from outside your org won\’t have access to the channel calendar and will also require being added to the meeting invite.

Right-click an event in your calendar to RSVP, remove it if it\’s canceled, or open the invitation to view the meeting details. If the event is a Teams meeting, you\’ll also get options to Join online and Chat with participants.

Teams meetings will show a join button on an event in your calendar five minutes before the start of a meeting. Once someone joins the meeting, the event will change colors to let you know they\’re online. Select Join to open the meeting settings window to confirm your preferred camera and mic settings before joining the online meeting.

If you\’re conducting a video meeting with many attendees, you may want to prevent attendees from turning on their cameras and mics.

To turn off cameras and mics before the meeting begins, open a meeting from the calendar in the Teams app and click Meeting options. At the top of this Participants panel, click the three-dot icon and select Disable mic for attendees or Disable camera for attendees.

You can also prevent a specific person from turning on their camera or unmuting their mic. Color coding on this timeline indicates when someone you invited will be busy or free throughout the day according to their Outlook calendars.

Click one of the suggested times to replace the start and end times that you originally chose. This is a good place to include a brief meeting agenda especially in an easy-to-read format, such as a table or a bulleted list. Providing a brief meeting agenda helps invitees prepare for the meeting.

If you need to provide a more detailed agenda, you can send a separate email with a document such as a. Or consider hosting your meeting in a Teams channel as described below. There you can post a reply to the message that announces your meeting with the agenda attached. Hosting a meeting in a channel lets any member of the channel join the meeting.

Another way to do this: Go to the team channel where you want to announce this meeting. At the upper-right corner, click the down arrow next to the Meet button.

From the menu that opens, select Schedule a meeting. Members of the channel will get a notice of your meeting announcement, and they can reply to this post with background information or requests for the meeting. You can reply and attach a detailed agenda as a document by clicking the paperclip icon. Recent versions of macOS, for instance, require you to grant some permissions in System Preferences. To test your device, click the Teams icon on the left toolbar.

Then at the upper right, click the Meet button. On the video meeting panel that opens, click the Join now button on the lower right. If you plan to share your screen during the meeting, click the icon of an upward arrow inside a square in the meeting controls toolbar along the top of the screen. This will open a panel that lets you share your screen, an app window, or other content. If Teams needs permission to share your screen, it should pop up a message requesting this access.
